A Master Template is a Word document that is used as the base template for generating letter or pdf correspondence. 

 

The Master Template is typically used to store the following:

 

  • Word header/footer for company logo, company contact details and any branding/design
  • Set margins
  • Set fonts, styles and paragraphing 

Upload a Master Template

 

Once you have created the Master Template within Word, save the file as in .doc/.docx format.

 

To upload the Master Template to your system:

 

  1. Go to the System tab > Click on Standard Templates
  2. Click on ‘Add Master Templates’ in the Smart Templates section
  3. Record the Header Details
  4. Enter the title of the Master Template – this is the name within Equinox
  5. Enter any Notes for internal reference on the use of the template
  6. Click the ‘Update file’ link > Choose file
  7. Select the file > Click ‘Open’
  8. Click ‘Save’ to upload the template to your system OR ‘Cancel’ to go back 

Edit a Master Template

 

When a Master Template has been uploaded to your system you can edit and record details of when this template should be used. This is required if you have more than one Master Template.

 

  1. Go to the System tab > Click on Standard Templates
  2. Click on the Master Templates heading in the Smart Templates section
  3. Click on the name of the template to edit
  4. Update the required fields. See the table below for the options available.
  5. Click ‘Save’

Select the type of template from the drop down list

Title

This is the name of the template within Equinox
Note: If multiple master templates are used then a system wide naming convention should be agreed across the firm, to ensure consistency when setting up new master templates and assigning legal entities to each.

Legal Entity

This is used for firms that have multiple offices or legal entities. Office Locations can be created within Equinox and users can be assigned to a Location. The Master Template will change depending on the Location assigned to the user that is generating the correspondence.

E.g. If a firm has an office in London and Glasgow, Equinox users can be assigned to one of these office locations. Separate Master Templates can be uploaded with the contact information for each office. If the user generating the correspondence is assigned to the London office, the London Master Template will be used.. 

Language

Record the language of the Master Template. The Master Template will only be used if the language of the template corresponds to the language of the person receiving the correspondence. You can specify a contact’s preferred language in the Address Book.
