This article outlines how to create a standard template.
Standard Templates are stored on the System tab > Standard Templates.
Note: Users require certain permissions to be able to view/edit templates.
To upload a new Standard Template you would need to follow the steps below:
1. Create the template
Design the template within a Word document.
Merge Codes can be used to pull information from Equinox into the template. A list of Merge Codes can be found here.
2. Save the template as an .RFT file
When saving the Word document, change the file type to .RTF.
3. Upload the template to Equinox
Go to the System tab > Standard Templates.
Standard templates are classified into the following categories:
Category | Description |
Letters | Used for postal correspondence. |
Fax | Used for fax correspondence. |
Emails | Used for email correspondence. |
Forms | Used to generate forms. |
Invoice | Used to generate your charge invoices. |
File Cover Sheet | Used to generate an overview of case information. |
Next to the category of the templates click ‘Add’.
4. Choose the template file from your PC
5. Enter a ‘Title’
This is a description of the template.
If the Title is left blank, the name of the file will be used.
6. Define which cases the template is relevant to
Use the filters to determine which cases the template should be available to use.
e.g. a template used to inform your client that a PCT patent application has been filed would have the filters: Category – Patent, Subcategory – Claiming Priority, Country - WO
7. Set a Language and any additional Notes
The Language field determines which language the #DATE# merge code uses. We recommend adding the language of the template to the Title to help filter for relevant templates on a case.
The Notes allow users to record additional information about the configuration of the template. These Notes are for admins and are not displayed when generating the template.
8. Click Upload
The template will be saved in your system and be available to generate on your cases.
